Feature-Rich and Easy to Navigate, but Dashboards and Traceability Need Work
What do you like best about the product?
I like that its simple to navigate and you can create very basic views then change the view from grid to board for example. It's easy to structure documents into folders and workspaces, and I like how you can give specific admin rights and permissions to individuals and groups. The notification feature is great and I like that you can create forms on there. There is a lot of features available and can be used for a large number of use cases
What do you dislike about the product?
I find it difficult to create dashboards and views from scratch. Unless you know how to create specific views using formula for example, or have excel experience it's quite hard to create the necessary views. Creating a dashboard from creating queries is complex and time consuming. I don't like that within the kanban view you can't click into an individual ticket and see it full page. It's hard to see a lot of info on the ticket and hard to see descriptions and comments at a quick glance. I would like to see more traceability and have the ability to create relationships between items, so that we can create views where we link initiatives to KPI's and requirements and even user stories. I believe a tool like Jira offers way more in terms of this type of functionality which I personally would benefit from. I don't have any knowledge of integrations with smartsheet.
What problems is the product solving and how is that benefiting you?
tracking projects is made easier with smartsheet as we can collectively view and manage our in flight projects and backlog within teams, track projects using gantt charts and also manage the initiation of new projects using forms to allow stakeholders to submit new project requests.
Great Automation, But Pricing Needs Work
What do you like best about the product?
I like the sign-off flows and sharing of information in Smartsheet. The new feature where I can control external sharing is good because it allows us to contain security better and remove unnecessary sharing by regular reviews. Before, you couldn't easily see where sheets were shared from a global view.
What do you dislike about the product?
I think the pricing, the new model is awful. Previously, you could have free users who didn't do much but add data to tables, now you need a license for this.
What problems is the product solving and how is that benefiting you?
I use Smartsheet for automated forms, sign-off processes, and tracking. It fills gaps where Office 365, Excel, or forms can't support our needs.

Great for Gantt Charts, But Takes Time to Learn

It’s a good app for creating Gantt charts for the projects I handle. It can feel a bit complicated at first, but once you understand how it works, it becomes a really handy tool.

Flexible, User-Friendly but Needs Form-Based Enhancements
What do you like best about the product?
I like Smartsheet's flexibility and simplicity. It's easy to configure sheets and workflows to resolve business issues. The initial setup was very easy.
What do you dislike about the product?
I think Smartsheet is somewhat like a ticketing system, and it should have an option for form-based ticket management and not allow users into the grid. That would be the biggest issue.

I use Smartsheet to automate certain tasks, which reduces the time it takes employees to work and improves business processes.
Solid for Scheduling, But Lacks Robustness of Competitors
What do you like best about the product?
I like using Smartsheet because it helps me manage my projects and stay abreast of my jobs more effectively. It provides a day-to-day guide on what tasks I should be focusing on, what the risk areas are, and what opportunities to consider. I appreciate how it disorganizes and organizes at the same time, by laying out all the critical dates, action items, and dependent and precedent events to appropriately track a full life cycle development. Smartsheet is my go-to tool first thing in the morning and the last thing at night, keeping me up-to-date with what needs my attention and what to watch out for. I'm also looking forward to more robust capabilities from Smartsheet, especially with the integration of AI. Lastly, the initial setup of Smartsheet was very easy.
What do you dislike about the product?
Smartsheet feels like an Excel-based platform and, although it's a bit better than Excel, it lacks the robustness of a tool like P6.

Smartsheet helps me manage my projects better, stay abreast of my jobs, guide my daily tasks, identify risk areas, and track opportunities.

No current dislikes, had a few minor difficulties logging on with single sign on/password but could be due to company policies

They provide useful trainings, and the AI features—like automatic formula generation, data analysis, and smart automation—help reduce manual work and improve efficiency.

One thing I don’t like about Smartsheet is that it can be limited when handling large or complex data compared to Excel. Some advanced features and automations are not very intuitive at first, and reporting is not as flexible unless integrated with tools like Microsoft Power BI. Pricing can also be high depending on the features needed.

It’s also customisable to fit how the business works, and it integrates with other systems.

There’s a steep learning curve, and it can be confusing at first—especially for new users. It often feels like “Excel but harder.” Some advanced features cost extra and require add-ons, and it isn’t fully real-time, so updates can lag. If it’s not set up properly from the start, things can get messy quickly. Overall, it still feels limited compared to dedicated project tools, and some tasks end up needing complex formulas or workarounds.

What I like most about Smartsheet is how it combines structure, clarity, and collaboration in a single tool. It can handle everything from detailed project tracking to straightforward team coordination, which makes it easier to stay aligned and transparent, and to keep priorities clear as work evolves.

From a project perspective, the only downside is the initial setup effort required to build structured sheets and workflows. Once established, they significantly improve visibility and consistency.
What problems is the product solving and how is that benefiting you?
Smartsheet solves the problem of fragmented work—where plans, updates, and responsibilities are spread across emails, documents, and conversations. It brings everything into one shared, visible space, which makes it much easier to track progress, manage dependencies, and keep everyone aligned. For me, this has meant clearer accountability, better visibility across projects, and far less time chasing updates, allowing more focus on delivery rather than administration.
