What do you like best about the product?
✅ Customizable Templates: We easily adapted templates for preventive maintenance schedules, downtime logs, and asset records.

✅ Collaboration Features: Assigning tasks to team members and tracking their progress is seamless.

✅ Alerts and Reminders: Automatic notifications help ensure maintenance tasks aren’t missed.

✅ Attachment Support: We attach manuals, photos, and inspection reports directly to rows.

✅ Dashboard Reporting: Visual summaries help management quickly understand equipment performance and maintenance status.
What do you dislike about the product?
❌ Can Get Complex: Setting up formulas or automations requires a bit of a learning curve.

❌ Mobile App Limitations: The mobile interface is decent but not as smooth for larger sheets
What problems is the product solving and how is that benefiting you?
ack of Visibility and Accountability
Before Smartsheet, it was difficult to track who was responsible for each maintenance task and whether it had been completed. Now, every task is assigned, timestamped, and visible to the team, which improves accountability and follow-through.

Disorganized Work Order Tracking
We used to manage work orders manually or with spreadsheets, which often led to missed or delayed tasks. Smartsheet centralizes all work orders in one place with clear due dates, statuses, and priority levels.

Inefficient Communication
Smartsheet cuts down on unnecessary emails and verbal check-ins by allowing real-time updates, comments, and automatic alerts for overdue or upcoming tasks.

What do you like best about the product?
This allows our organization to collaborate on project schedules. We track up to 5 installations crews using smartsheet
What do you dislike about the product?
Took a little bit to figure out how to use it with the predecessors.
What problems is the product solving and how is that benefiting you?
As a growing business, we needed a way to organize all of our installations. We have 5 install crews now that are on projects that take different amounts of time. We need to track how long they take and when they move on to the next installation.

Smartsheet as a program management tool for new product development

What do you like best about the product?
Best thing about this tool is that all the information about a project is organized and easy to access by all the stakeholders. Program status tracking has become easy due to its automated notification email. Its implementation was smooth, and team members frequently access this tool as links in email directly take them to their assignment. Top management can easily pull out required data for all the programs. Overall it has well integrated with the existing system and will help serve the customer better.
What do you dislike about the product?
GUI should be improved in subsequent updates. Entered data should refresh automatically and should be visible to other team member in minimum possible time.
What problems is the product solving and how is that benefiting you?
It helps me to keep all the project data consolidated at one place and can be accessed by all the stakeholders anytime and anywhere.

Easy to Use

What do you like best about the product?
Coming from an MS Project user, Smartsheet is quite simple to use, and has many of the same abilities as MS Project has.
What do you dislike about the product?
When copying a section, and pasting it doesn't recognize the predecessors in relation to what I have copied and where they are being pasted. I have to put in the predecessors manually.
What problems is the product solving and how is that benefiting you?
Letting us know the critical path is very important.

Smartsheet can feel overwhelming for new users due to its wide range of features. Some advanced functionalities require a learning curve, and performance may slow down with very large sheets or complex automations.

Resource management module helps visibility to see how team members are loaded with various tasks. The visibility helps to level load team members for efficient project management.

Expensive, but worthwhile

What do you like best about the product?
Smartsheet has enabled us to centralize processes (such as purchasing, scheduling, and hiring) which were historically done through e-mail. $689/user/year is steep, but the return on investment is sound. The software is simple enough for the average user to be able to navigate, but powerful enough for those who know how to use computers to get a lot out of.
What do you dislike about the product?
My biggest disappointment with Smartsheets is the lack of a programming language (like Excel's VBA) to compensate for the inexplicable gaps in features. It would, for instance, be nice to be able to require a character minimum in forms to stop users from simply entering a space in required fields.
What problems is the product solving and how is that benefiting you?
Smartsheet has enabled us to collect ~ 90% of the information needed from users in one step, replacing the need for long e-mail chains which have a tendency to be lost. Simple additions (such as the previously mentioned character minimum in forms) would bring this figure as close to 100% as software is capable of.
