Centralized Documentation Simplified

  • February 01, 2026
  • Review provided by G2

What do you like best about the product?
I like using Confluence as a centralized documentation and collaboration tool. It makes it easy for my team to create, organize, and maintain project documentation like technical designs, requirements, meeting notes, SOPs, and knowledge base articles. The ease of creating, organizing, and maintaining documentation in a structured way is what I like most about it. The rich text editor, templates, and macros simplify documenting complex information clearly without much formatting effort. Real-time collaboration features, such as inline comments and mentions, make team discussions transparent and efficient. The integration with Jira is a big advantage since it links documentation directly to tasks and tickets, keeping work and context connected. I find Confluence's advanced search and page hierarchy very valuable, making it easy to quickly find relevant information, even in large workspaces. Page versioning and access controls ensure content accuracy and security. I appreciate embedding files, Jira issues, diagrams, and external links directly into pages, keeping everything contextual and easy to reference. The advanced search allows me to quickly locate specific pages or keywords without navigating through multiple spaces, saving time in large projects. Page hierarchy helps organize information, structuring content into parent and child pages makes navigation of complex documentation easier. The initial setup was straightforward, with easy space creation, basic permission setup, and team onboarding, aided by templates that allowed immediate documentation.
What do you dislike about the product?
As documentation grows, pages can sometimes feel cluttered and maintaining a clean structure requires manual effort. The editor, though powerful, can occasionally be slow when working with large pages or many embedded elements. Also, managing permissions at a very granular level can become complex in larger organizations. Improving performance for large spaces and simplifying permission management would enhance the overall experience.
What problems is the product solving and how is that benefiting you?
Confluence solves the problem of scattered documentation by providing a centralized source of truth, enhancing collaboration through real-time editing and commenting. It also eliminates the need for emails and shared drives, keeping all information in one accessible place and ensuring team alignment.

Confluence for Knowledge Management with Integration

  • January 30, 2026
  • Review provided by G2

What do you like best about the product?
I like Confluence for its ease of use and clean interface. SSO makes access simple, and sharing content via links is very convenient. Its integration with Jira works seamlessly, which helps in tracking work and documentation together. The initial setup was smooth, and we were able to migrate content from SharePoint quickly without major issues.
What do you dislike about the product?
Integration with third-party tools can sometimes require additional effort, especially for custom use cases. It would be better if Confluence offered more out-of-the-box API capabilities and simpler configuration options without needing heavy customization.
What problems is the product solving and how is that benefiting you?
Confluence helps centralize knowledge and documentation in one place. It improves collaboration across teams, provides better visibility into project updates, and makes onboarding easier by giving new joiners access to structured information.

Confluence Makes Knowledge Sharing and Team Collaboration Effortless

  • January 29, 2026
  • Review provided by G2

What do you like best about the product?
What I like most about Confluence is how easy it makes sharing knowledge in one place. Instead of documents being spread across emails, drives, or chats, everything lives in a single workspace that the whole team can access anytime. Another great thing is how simple it feels to write and read. You don't need special skills to create a page. You can start typing like a normal document, add headings, tables, or links, and the page looks clean and professional automatically. Confluence is also very good for team collaboration. Multiple people can work on the same page, leave comments, and suggest changes without confusion. This makes teamwork smoother, especially when people are working remotely. I also like how easy it is to organize information. Pages can be grouped by project, topic, or team, which makes finding old notes or documents much faster. It reduces the time spent searching for the work.
What do you dislike about the product?
One thing I dislike is that Confluence can feel a bit slow at times, especially when pages become very large or heavy or have many images and tables. This can slightly affect productivity. Another downside is that new users may feel confused at first. With many spaces, pages, and options, it takes some time to understand where to create content and where to find existing information. Formatting can sometimes feel less flexible compared to advanced document tools. While it works well for most use cases, small layout changes can take extra effort. Search results are helpful, but when there is a lot of content, it can still be hard to find the exact page you want without using specific keywords.
What problems is the product solving and how is that benefiting you?
Confluence solves the major problem of scattered knowledge. In many teams, information is spread across emails, chats, files, and personal notes. This makes it easy to lose important details. Confluence brings everything together in one shared space. It helps prevent repeated questions. When processes, decisions, or guidelines are written clearly in Confluence, team members can refer to them anytime instead of asking the same things again and again. Confluence also solves the issue of knowledge loss when people leave a team. Since everything is documented, a new team member can quickly understand past work, decisions, and workflow without depending heavily on others. It improves transparency. Everyone can see project updates, meeting notes, and plans, which build trust and alignment across teams. This is especially useful for remote or distributed teams. Another big benefit is better onboarding. A new employee can learn faster by reading organized documents instead of relying only on verbal explanations. Confluence also supports clear decision-making. Important discussions and outcomes can be written down so there is less confusion later about why certain choices were made. It helps teams avoid wasting time searching for information. When everything is written in one place, people know where to look instead of checking emails, chats, or asking others repeatedly. Confluence makes collaboration feel more organized. Multiple people can work on the same page, leave comments, and suggest changes without creating confusion or breaking the flow of work. It reduces mistakes caused by outdated information. Since pages can be updated anytime, teams are less likely to follow old instructions or wrong details. Confluence makes handover much easier. When someone switches projects or roles, all important context is already documented, so transitions feel smoother and less stressful. It encourages teams to think more clearly. Writing things down forces better structure and clarity, which often improves the quality of ideas and plans. The platform helps keep long-term records safe. Decisions, designs, and discussions are not lost over time, which is helpful when you need to look back or audit past work. It supports better teamwork across departments. Different teams can understand each other's work without constant meetings, which improves cooperation and reduces friction.
