Centralized asset lifecycle management has reduced downtime and improved maintenance efficiency
What is our primary use case?
I worked with IBM Maximo during an IT consulting engagement for a large asset-intensive organization in the utilities and energy sector, where the client's needs required a centralized platform to manage physical assets, maintenance operations, and work orders across multiple sites. IBM Maximo was implemented to support asset lifecycle management, preventive and corrective maintenance, and integration with ERP and IoT data sources. The solution was deployed in a cloud environment serving multiple operational teams.
I used IBM Maximo asset register as an asset registry and lifecycle tracking. I configured IBM Maximo to create a single, centralized asset registry for critical equipment, such as transformers, pumps, and production machinery, consolidating data previously spread across spreadsheets and legacy systems. Each asset was tracked across its full lifecycle: installation, operation, maintenance history, and decommissioning. IBM Maximo was configured to manage time-based and usage-based preventive maintenance plans where maintenance activities were automatically generated based on operating hours, calendar schedules, and asset criticality, which reduced missed maintenance and improved overall asset reliability.
What is most valuable?
IBM Maximo provides a very mature and structured model for managing assets, work orders, maintenance plans, and spare parts, which is well-suited for complex real-world operational processes. Another best feature is configurability without heavy customization because many business rules, workflows, and forms can be configured through the platform without writing custom code, which helps align the tool with existing operational processes.
I configured IBM Maximo to integrate with ERP.
IBM Maximo is a very robust and mature EAM platform that covers end-to-end asset and maintenance processes. It is also highly configurable for complex organizations, which was very good for us. It has a strong ecosystem and long-term vendor support because our customer colleagues, when they contacted the vendor for support, had a very positive experience.
What needs improvement?
IBM Maximo can be improved because the user interface is not as modern as newer SaaS tools, and implementation and configuration can be time-consuming. If IBM wants to improve the tool, I think that these two points are essential.
IBM Maximo can be improved in order to make it easier to understand how to manage and evolve the tool because it is not easy to use at the beginning.
For our needs, IBM Maximo's reporting and analytics capabilities are sufficient. It is a little difficult to use at the beginning, but when you learn how to use the tool overall, IBM Maximo is very strong and useful, and for us, it was a very good experience.
It is not easy to learn IBM Maximo at the beginning. I think that it is possible to improve the learning curve to make it easier to use in the future.

IBM Maximo proves to be highly scalable, supporting thousands of assets and users across multiple sites, and it scales well both functionally and technically, especially in enterprise and multi-site environments.
Unplanned downtime decreased by 15 to 20%, work order processing time decreased by 30%, and data consistency across sites significantly improved, which are very good metrics for us.

What do you like best about the product?
I like that features are reviewed and updated. I love the ease of entering POs, revising POs and canceling POs.
What do you dislike about the product?
I dislike that you can't cancel a PO that has services linked even though you unreceive the lines. You have force close the PO and create a new PR which is alot of work.
What problems is the product solving and how is that benefiting you?
Maximo helps us with issues we run into with asset management. It's easy to enter PRs and issue POs to our suppliers. Overall, it helps to streamline our buying process.
I love the fact that it's cloud-based and can be used anywhere without a VPN. It has built in audit and numerous safety features.

What do you like best about the product?
What I value most is its all-encompassing approach, seamlessly integrating maintenance, monitoring, and analysis within a single platform. Additionally, the AppPoints system stands out as a clever solution for handling software administration.
What do you dislike about the product?
What I find challenging is the complexity of its infrastructure. It becomes a real struggle if the IT team does not have experience with containers or Kubernetes.

This is a robust and intelligent tool. Its most significant advantage lies in its predictive AI, which notifies users of potential bearing failures well in advance. The real-time, data-driven management also contributes to efficiently reducing operational errors.

I like how IBM Maximo Application Suite brings all assets, maintenance, and monitoring tools into one platform with a modern interface. This integration makes it much easier to track work, understand asset health, and leverage data for improved decision-making. I particularly appreciate its user interface, as the modern design facilitates navigation and helps me find weaker areas efficiently. The suite's ability to consolidate various functionalities into a singular, cohesive solution greatly enhances its convenience and usability, making it a standout tool in my workflow.
What do you dislike about the product?
There are several challenges with IBM Maximo Application Suite that I find take away from its overall utility. Firstly, the setup can be quite complex, indicating a steep learning curve. It's not a simple plug-and-play system, which could be quite daunting for new users. The Openshift environment and the app points licensing model, while flexible, seem to come with a high cost, making budgeting for the software challenging. Additionally, the suite-level architecture can be cumbersome. I also notice that while some modules, like the management features, are robust and reliable, others, particularly those using AIML for predictive analytics, require very accurate data to function effectively and feel less automated than I expected. This inconsistency can lead to inefficiencies in work processes.

I encounter high levels of unplanned downtime, which disrupts operational efficiency. The software's limited mobile access is problematic for field technicians who require on-the-go functionality. Additionally, the complexity of configuration and administration can be daunting. Setting up workflows, security, data structures, and integrations often demands specialized knowledge, posing challenges for smaller teams or organizations without dedicated Maximo administrators. This complexity can slow down adoption and increase dependency on external consultants. Although cloud deployments simplify the process, the initial setup still ranges from moderate to complex.
