What is our primary use case?

OneLogin serves as our centralized identity and access management solution, enabling features such as single sign-on for multiple cloud and on-premises applications, multi-factor authentication, user provisioning, and integration with Active Directory so that our users are unified in an IAM solution with role-based access control.

OneLogin enables our users and organization to enforce single sign-on so that no security breaches occur for our on-cloud or on-premises applications. It also enables our IT team to enforce MFA for enhanced security in our environment.

OneLogin offers a simplified solution that gives users a one-time login for multiple applications, which significantly improves user experience. It also enforces secured MFA and provides centralized control to manage users and their access on the platform.

What is most valuable?

The feature I use most frequently is the unified, centralized control of users and their access across my different platform applications, which is invaluable in our environment. I also find the reporting functionality to be excellent.

OneLogin has positively impacted our organization by improving our security compliance and providing security measures that ensure no data breaches occur in our organization.

After deploying this solution, I measure improvements in security compliance by adhering to security guidelines and achieving simplified, user-friendly MFA and single sign-on features.

OneLogin SmartFactor Authentication does an excellent job of balancing security with user experience by operating based on risk scoring, user location, device, and login behavior. All these metrics are collectively necessary for authentication.

I have a positive impression of the user identity synchronization across directories functionality in OneLogin, as we have not encountered any issues with syncing. We have used LDAP for the integration with this solution, which supports excellent integration.

The integration of phishing-resistant device trust in OneLogin has improved the security of our authentication process and ensures that only trusted or known devices can access applications, which reduces credential theft and phishing attacks.

What needs improvement?

While using this solution, I do not see any lack of features; it functions well for us. The initial setup could be simplified so that any engineer can implement it within the timeline.

Identity management has unified global access and supports automated user lifecycle flows

What is our primary use case?

I work in a consultancy company where I provide OneLogin services to my local customers. I also sell the product licenses to customers, so we act as an intermediary between One Identity and the customer. Additionally, we provide professional services to configure OneLogin. My clients use OneLogin for identity management, which is all related to identity and access management.

What is most valuable?

The best features of OneLogin are probably the multi-region capabilities because for multinational companies that have offices around the world in different countries with different languages, OneLogin has native capabilities to help integrate all of that. Most of the competitors do not have that much functionality.

Another feature we use a lot and really like about OneLogin is the automations part because the API is really complete. Everything you can do in OneLogin, you can also do through the API. This helps a lot to automate things and any topic. The API in general and some of the automation configurations that OneLogin has are among the things that we use most.

What needs improvement?

Regarding areas for improvement in OneLogin, the customization of the login experience needs attention. The integrations for life cycle management, particularly all the provisioning capabilities regarding joiner-mover-leaver processes when you integrate an application with OneLogin, needs improvement. You can integrate the security and authentication parts really well, but regarding provisioning and life cycle management, there is room for improvement.

When I compare OneLogin with other solutions or vendors, I see that OneLogin struggles a bit with big companies that have totally different use cases. For example, if a big company has more context for their users where users have different access contexts and access behaviors, you cannot define these low-level policies or segregate security levels effectively. That is the main reason why I think big companies sometimes go for other access management products in the market instead of OneLogin because you cannot customize a lot and you cannot segregate security policies.

The user identity synchronization fits most use cases, but sometimes regarding life cycle management and identity synchronization, it cannot cover complex use cases. It covers the basics and is okay for most use cases, but if you need an advanced use case or something more complex, you struggle a bit there.

For how long have I used the solution?

I have been using OneLogin since more or less 2021.

What do I think about the stability of the solution?

OneLogin is pretty much 100% stable. As it is a SaaS solution, it provides service all the time with no issues.

What do I think about the scalability of the solution?

Regarding scalability, the answer is positive. As it is a SaaS solution, it rates as a 10 because you can scale pretty much everything based on the licenses.

How are customer service and support?

I would rate the technical support as a three. It has improved a bit in the past. I rate it three because it is a mix of things. The knowledge level is an issue because we are specialized on the product and not a customer, so when we have an issue or a doubt, it is complex and support usually cannot help with that. We need to contact our channel engineers, but the support cannot usually help with our kind of topics. The response times are usually not the best as well. However, perhaps that is because we are a partner and not a customer, so for a customer it might be acceptable because they do not handle such complex topics. For us, it is not enough and I would like better support.

How was the initial setup?

The deployment is easy and that is also one of the good things about OneLogin because it is easy to deploy and get value quickly. However, it has a drawback because it lacks customization options, so you cannot develop something specific. The good part is that the deployment and integration are usually straightforward and pretty easy.

Which other solutions did I evaluate?

I am mainly comparing OneLogin to Okta, but also a bit of Ping Identity and Entra ID lately as well, because we also work with those solutions as partners, and those are the main competitors.

What other advice do I have?

We usually try to recommend to our customers which different access typologies they have, and based on that, we recommend implementing policies that check the risk in real time, the context of the user, the behavior, and based on that, we apply MFA policies.

The sign-in and authentication process is simple in the way that it is a very intuitive login experience, but the main problem is that we cannot customize a lot, so we cannot provide a 100% seamless experience. Sometimes we cannot customize to adapt to the customer use case, for example, so I am not 100% happy about that.

The impact of the integration of phishing-resistant device trust on the authentication process is good because it adds a really good security layer. You can evaluate a lot of the context of the user login and you can integrate with security devices such as YubiKeys and hardware tokens. Therefore, you are adding a really good security layer for any authentication in any application.

I use the single sign-on feature and I would say it is easy to integrate because it has a really high catalog of predefined connectors. This is good and really easy to use.

I have used the adaptive login flows with Vigilance AI for some basic use cases. When we had the requirement to adapt the login process or customize the login experience, we need to use this to customize it. The main problem is that you sometimes cannot customize as much as desired, but we use that and it covers most use cases, although I would like it to be a bit more flexible.

The HR identity management plays a good role in streamlining identity handling for employees because it covers the joiner-mover-leaver flows in a company. We usually integrate that use case with the human resource tool, so we automate the process where a new employee joining in the human resource tool allows OneLogin to get that identity and propagate it. The basic use case is covered and is good enough. This is not a governance solution, so you cannot expect more, but it covers the identity synchronization with human resources.

The advice I would give others looking to implement OneLogin is that before trying to integrate and deploy OneLogin or any access management solution, you need to train your internal teams extensively and make them aware of what is coming and what this solution is about. You need all the teams in your company to be aware of why OneLogin is being implemented and what that means because once you start integrating applications and having people access and log into the product, you need to make them agile. I will focus on internal communications and internal trainings more than the technical part.

What is our primary use case?

My main use case for OneLogin is for security enhancement and account management. I use OneLogin mostly for security enhancement as well as users' account management, which includes the management of the client's accounts as well as team members' accounts.

What is most valuable?

The features I appreciate most about OneLogin involve the multi-factor authentication, which I consider one of the best features because it provides many options for increasing system and tool security. This helps us to see that our data and accounts are protected from threats, hackers, and unauthorized access. The MFA also helps us to add extra layers of security to the account.

The second feature I want to discuss is the integration feature; in this integration, many other features are exported from other tools and built into this single tool, which helps us to reduce manual effort and limit errors that could be caused by manual data exchange. All the information is gathered in a single place, and OneLogin has become a solution for all security purposes as well as the integration of other tools we use.

When we talk about security and usability, SmartFactor Authentication is a valuable tool because it helps in enhancing the tool's security. One of the valuable things I see is that it can detect errors and risks in authentication and provides advanced security for the tool, meaning that it can detect higher-risk logins and prevent unauthorized access. It also identifies non-compliant users and detects unsafe places, including anonymous IP addresses, which may be used by spies or phishers, providing strong security for the system.

OneLogin has positively impacted us in many different ways, particularly in terms of cost, as our costs have been reduced compared to what we have been spending.

What needs improvement?

OneLogin can be improved mostly by maintaining and upgrading it. Everything is running well currently, so I have not identified any required improvements at this time.

I believe the initial setup should be more straightforward. The initial setup should include all instructions in a tour video, so when someone is running it, they can watch and realize how things are done, not only regarding domain booking but also having posted videos daily about added features. This would make it easier for the person installing initially to know what should be done and what has been added. This would help anyone, regardless of their coding skills, to learn how to install it through video explanations.

What is our primary use case?

My main use case for OneLogin is to provide secure single sign-on access to multiple applications for our users. This simplifies user access by reducing the need for passwords and helps decrease password-related issues. OneLogin also manages user provisioning and de-provisioning to ensure users have the right access at the right time. Additionally, it implements multi-factor authentication and policy control to enhance security.

A specific example of how my team uses OneLogin for single sign-on and user provisioning in our day-to-day work is when we onboard a new employee. We use OneLogin to quickly provision their user account across multiple applications. We create their account in OneLogin, which automatically grants them access to email, the HR system, and project management tools without needing separate logins. This saves time and reduces errors compared to manual account creation in each application.

We have set one strong password in OneLogin that enables users to access all business applications in my organization securely and easily. We have integrated a significant number of business applications under OneLogin, where they are secure and simple to access.

OneLogin functions as a single sign-on platform to access all our business applications across the different departments in my organization. Most, if not all business applications support single sign-on, ensuring a smoother onboarding and offboarding experience with a centralized application dashboard and an easier login experience.

What is most valuable?

The best features OneLogin offers include integration, seamless integration, security, single sign-on, and encryption. All the features are very important, especially when working with two-factor authentication, which boosts the security layer in my organization. Additionally, the seamless integration with different applications and systems in my organization has been effective, particularly for promoting collaboration.

Since OneLogin is a cloud-based solution, we are able to access it on various devices as long as we are connected to the internet, and this has truly boosted our remote collaboration. Since we started using OneLogin, we have been able to access all our accounts utilizing personal smart devices. It has simplified how we log into different applications through one strong password, enabling us to save considerable time and cost. It has been very convenient for employees working remotely where they can collaborate effectively. OneLogin allows quick access through single sign-on and the ability to send a security pin with one tap. It has also reduced the number of support tickets through the self-service reset password portal.

We have been able to directly integrate it to different directories where we are able to collaborate remotely and work from home conveniently. The experience is very seamless with no technical hiccups or glitches. What is our primary use case?

My primary use case for OneLogin is centralized identity and access management with single sign-on and multi-factor authentication across multiple internal and cloud-based applications. I use OneLogin to manage user authentication for SaaS applications, internal tools, and third-party platforms. Instead of maintaining separate credentials for each application, OneLogin allows me to enforce a single, secure identity for users, which significantly reduces password fatigue and improves security. Additionally, OneLogin helps me with user lifecycle management, such as onboarding, role-based access control, and de-provisioning users when they have left the organization.

A good example of how I use OneLogin for onboarding is when a new employee joins the organization. Once the user is created in my directory, the account is automatically synced to OneLogin. A more modern, streamlined UI and guided setup flows would improve the admin experience. I would like to add a few more points about how I use OneLogin based on my experience. The process has significantly reduced the onboarding time, as I have mentioned.

I do use OneLogin Smart Factor Authentication to adjust authentication flows in real time, though in a targeted way rather than across all use cases. I have configured smart factor policies to evaluate contextual signals such as user location, device, IP reputation, and login behavior. When the risk level is low and the user is logging in from a known device or trusted network, the authentication experience is kept simple. If OneLogin detects higher risk, such as a login attempt from a new location, unfamiliar device, or unusual behavior, it dynamically enforces additional verification steps such as MFA. This approach allows me to maintain strong security without creating unnecessary friction for users during normal, low-risk access.

My impression of OneLogin's ability to provide a seamless end-user experience is very positive. The single sign-on functionality ensures that users only need to remember one set of credentials to access all their applications, which eliminates password fatigue and reduces login-related frustration. Employees can access everything from email to collaboration tools, project management systems, and internal dashboards through a single portal. MFA is integrated smoothly and supports various options such as push notifications, authenticator applications, and biometrics. What is our primary use case?

My use case for OneLogin has many uses including SSO, desktop SSO, multi-factor authentication, advanced directory integration, access to other applications, smart factor authentication, role-based access control, and identity lifecycle management from start to end, including user onboarding, user updating, and user offboarding processes.

What is most valuable?

The best features I appreciate most about the solution are OneLogin SSO and advanced directory integration. OneLogin SSO integration has almost 6,000 pre-integrated applications, which allows users to access multiple applications with just a single set of credentials. OneLogin provides seamless integration with existing directory services such as LDAP, Active Directory, and cloud directories such as G Suite and Workday.

OneLogin has a role-based access control feature that provides role support, allowing admins to define roles and assign specific permissions to users based on their roles within the organization. I use smart factor authentication to adjust authentication policies in real-time. For multi-factor authentication, OneLogin has many authentication factors. In India, we primarily use one-time passwords, email, SMS, and web authentication for biometric factors. We also use third-party authenticators such as Google Authenticator, Duo Security, RSA SecurID, and YubiKey.

What needs improvement?

The authentication process is good, but sometimes the responsiveness to requests for enhancement is very slow. I sometimes face issues with platform stability, flexibility in configuration, and limited API availability. I experience downtimes two to three times per year. OneLogin's support team is sometimes very slow to respond. There is a feature limitation with mapping, as OneLogin does not provide one-to-all mapping. For client deployment, we need to create separate mappings for each request, and we cannot use the same mapping for multiple requests.

Other areas that have room for improvement are related to API limitations. If a client requires more APIs, such as 5,000 or 6,000, OneLogin charges more. The API rate limits by default or the standard limit should provide more than 5,000. Additionally, OneLogin could provide more flexibility in configuration. These are the main limitations I have identified with OneLogin.

For the expert premium plan for clients who want all professional features, smart factor authentication, and dedicated admin features, it costs almost nine to ten dollars per user. OneLogin provides customized solutions that vary based on customization and client features. The cost is less compared to Okta and Entra ID.

OneLogin requires maintenance in the sense of cloud storage, and they have different pricing for that. The cost varies depending on the clients.

Which other solutions did I evaluate?

When I compare OneLogin by One Identity to other authentication and SSO tools, I find that there are other actors such as Entra ID and Okta that are similar products. All three products are used for application integration, security, and integration. OneLogin is mostly for small and mid-sized businesses, whereas Okta is used for multi-cloud and vendor-neutral setups. Entra ID is only for setups that have an Azure setup or Microsoft 365.

OneLogin has almost 6,000 pre-built applications for SSO, whereas Okta has 7,000, and Entra ID has around that number, but it provides deep native integration only for Microsoft 365 or Azure. The admin experience with OneLogin is very simple and straightforward, and anyone can deploy OneLogin. However, Okta is highly modern and polished, and Entra ID provides a similar kind of feature. Cost-wise, OneLogin is often more budget-friendly and is less costly than Okta and Entra ID.

What other advice do I have?

My experience of the solution's ability to provide a seamless end-user experience for signing in and authenticating applications is seamless. I have experience as both an admin and a developer. As an admin, I manage user lifecycle management processes and application onboarding based on SAML, OIDC, RADIUS authentication, and OAuth protocols. I onboard different applications in OneLogin based on different SSO protocols and manage user lifecycle management as it is integrated with various Workday directories, Active Directories, and CSV onboarding of users. As a developer, I use Smart Hooks and their client SDK to integrate multiple APIs based on Python, and I manage users, apps, and roles based on OneLogin API.

The number of users that work with OneLogin in my company depends on the clients. For banking-related clients, OneLogin has almost 20,000 users. For education-related clients, it is around 10,000 to 15,000. Overall, I have worked with around one to two lakh users in my three years of experience with OneLogin.

I am a partner of One Identity, specifically OneLogin, as I was at Grade Software Pvt. Ltd., which is a Pune-based organization in Pune, India. We bought OneLogin, and we deployed multiple client projects as a solution implementer or solution partner. My company has about 10 to 15 specialists, specifically 15 engineers.

Maintenance is easy. My impressions of the user identity synchronization across directories functionality are that OneLogin is used for secure access to campus resources including data and apps. It ensures fast access and easy authentication while blocking regular or unauthorized access. OneLogin allows third-party integration, making it better. It is a comprehensive identity and access management solution designed to streamline workplace authentication and authorization. This feature on this platform enables users to access multiple applications with a single set of credentials and provides solutions for admins with granular control over permissions, security policies, and user provisioning.

I have used the adaptive login flows with intelligent AI, specifically in the adaptive login flow feature in OneLogin where we need to set configuration for the adaptive feature and add one to two devices to test it. Once it works, adaptive authentication comes with different credentials if a user has them. When a user logs in with standard credentials such as username, user ID, email ID, and password, it sometimes makes them vulnerable to cyber attacks. We can implement risk-based authentication in OneLogin by creating a profile for each user that includes information such as the user's geographical location, their different role, and a registered device. Each time someone tries to authenticate, the request is evaluated and assigned a risk score. Depending on that risk score, the user may be required to provide an additional credential. If the risk score is high, we can add additional multi-factor authentication. If the user passes, the user can access the application.

My advice for others looking to implement this product is that I can recommend it based on the product features. If you want OneLogin Desktop, VLDAP, RADIUS integration, or user lifecycle management processes made easy, I can recommend OneLogin for small-base or medium-base organizations. My main use case for OneLogin is to ensure security and privacy on a HIPAA and PCI compliant platform while allowing ease in storing employee passwords, ensuring my tech team is not consistently bombarded by password-related requests from employees. This has solved both our privacy concerns and created a more efficient flow of priority tickets for our technology team. It has also allowed us to demonstrate to investors the additional privacy measures we have implemented for our software and partners.

A specific example of how my team uses OneLogin in our day-to-day work is that we have implemented it as a solution in our organization, using it for identity and single sign-on. We have integrated it with more than 30 business applications to ensure internal users have a seamless experience accessing business apps, so they do not have to remember numerous passwords and have centralized control over the identity of these business apps. For example, when a user resigns, we can terminate their access on OneLogin, ensuring access is deactivated for other apps, which eliminates the need for manual access removal. Out of those features, I would say all the features are robust and very useful. The integration part is very easy to integrate and deploy, the dashboard is good and user-friendly, and the portal can be accessed from anywhere since we have adopted the cloud-based model. The features of OneLogin have also helped us enhance the user experience, maintain centralized control over identity, and achieve complete visibility of access.
