Recently, one of my clients wanted to migrate from using Workato to another platform, so I started exploring Workato to understand why it's attracting big clients. The focus has been on cost efficiency since the cost of other platforms is quite high. I noticed Workato is less expensive and offers similar integration capabilities.

Best UI for a "Low code - No code" integration tool
What do you like best about the product?
What I like best about Workato is its powerful automation capabilities combined with an intuitive, low-code, no-code interface. It allows both technical and non-technical users to integrate apps and automate workflows quickly. The vast library of pre-built connectors and community recipes speeds up implementation. I also appreciate its scalability and enterprise-grade features like error handling and version control. Overall, it boosts productivity and reduces manual work significantly.
What do you dislike about the product?
For Workato Embedded infrastructure it is hard to roll out updates on certain integrations for all Client Profiles at once.

As an embedded customer, Workato helps us seamlessly integrate automation into our own product, delivering more value to our end users. It solves the challenge of building and maintaining custom integrations by providing a flexible, scalable platform we can embed directly. This reduces development time and allows us to focus on core product features. It also enhances our offering with powerful automation capabilities out of the box. While Workato provides excellent free subscriptions for learners, my main concern is its complex pricing structure. If automated workflows (recipes) aren't meticulously optimized, costs can quickly become very high. This is because pricing often scales with usage, meaning inefficient recipe design can lead to unexpected and significant expenditures. This complexity demands a proactive approach to recipe design and continuous usage monitoring. Without a clear understanding of how each automated action impacts the bill, businesses might find the financial benefits of automation overshadowed by unforeseen costs.

For instance, when I encountered an issue where Workato was tampering with files during uploads to Salesforce, the support team requested a live demonstration at their convenience. This was challenging and ineffective for me, as I was reluctant to disclose sensitive information in that manner. A more desirable approach would have been for them to provide standard troubleshooting steps or a solution with clear instructions, rather than requiring a live session that presented privacy concerns.

Workato excels at solving the challenge of complex and time-consuming data integration and automation, particularly for non-technical users. For instance, I was developing a project that needed to fetch data from a spreadsheet, process it, and then push it to Salesforce. Traditionally, this would involve direct integrations, extensive coding, and custom flows – a highly time-consuming process. Any future edits would have been a nightmare for the non-IT users this project aimed to serve. This is where Workato became a game-changer. With Workato, I could easily connect the spreadsheet and Salesforce using simple click actions. The drag-and-drop interface within the recipe builder allowed me to achieve the entire requirement without writing a single line of code. Updates or modifications also became a matter of a few clicks, and the easy monitoring features were incredibly helpful. Beyond the initial scope, I was also able to extend functionality by integrating with platforms like Slack and DocParser, adding valuable capabilities that were not even part of the original click-based requirements but proved immensely beneficial.

What do you like best about the product?
Workato integration implementation is very easy, does not require any coding skills. You can just integrate the applications in minutes. As a boomi developer in past, I did not have any learning curve, it was that easy. It is quite impressive in its customer support and community. I reached out to customer support many times, and I was able to get my answers. In fact , support team helped me in technical review as well. Quite impressed with its features e.g., List, hash etc. In fact, formula modes in fields are great. As compared to boomi, where we need to configure quite big logic for complex transformations, here it can be done in a single formula field.
What do you dislike about the product?
Some of the functionalities are missing such as e.g., Salesforce lead conversion operation not available, application error code can not be directly accessed. As it recipe grows vertically, sometime it becomes difficult to match the code blocks.
What problems is the product solving and how is that benefiting you?
We are implementing the Order to Cash process for client. It is great fit considering their business processes.
Exceptional Support Makes Workato Shine
What do you like best about the product?
I'm consistently impressed by Workato's incredibly responsive support team. Within minutes of an inquiry, a live person is there to ensure problems are solved, questions are answered, and recipes are working perfectly. Even as the company has grown, their support and attention to users haven't diminished.
What do you dislike about the product?
Workato can feel a little intimidating at first, and there's a bit of a learning curve, which might be challenging for new users.
What problems is the product solving and how is that benefiting you?
Workato is solving the problem of needing to manually run and monitor scheduled SQL queries in one of our databases. Specifically, it automates the execution of these queries and, crucially, detects anomalies in the results. Instead of our team having to remember and take the time to perform these checks, Workato handles it.

What is our primary use case?
What is most valuable?
I appreciate Workato's job reporting feature, which consolidates recipes and jobs for easy management. I also like the control over performance, cores, etc., and the simplicity of creating recipes. Workato has around 100 connectors, allowing anyone, even without an IT background, to work with them. Additionally, the platform resembles Salesforce in presenting both solutions and their benefits.
What needs improvement?
Currently, Workato is a low-code platform without native programming capabilities. I would appreciate having a dedicated programming language for tasks like transformations and functional programming. Although the drag-and-drop framework is easy, incorporating a coding language could enhance functionality.
For how long have I used the solution?
I have been using Workato for at least three months.
What was my experience with deployment of the solution?
Deploying Workato was easy and clear. Although the components are good, I would like an IDE or similar tool to test recipes locally. Considering AI integration with agents in future releases would also be beneficial.
What do I think about the stability of the solution?
I have not observed any stability issues, but it should be tested with large files or data sets to determine its latency performance.
What do I think about the scalability of the solution?
Workato lacks manual control over scalability. Their cluster management automatically calculates the necessary resources like VCores.
Which solution did I use previously and why did I switch?
I have used other solutions previously but explored Workato when my client wanted to switch due to the high cost of those solutions.
How was the initial setup?
The initial setup was straightforward and fast. Connecting components took some time depending on the authentication method, such as OAuth 2.0 or JWT, but overall, it was easy.
What's my experience with pricing, setup cost, and licensing?
Compared to integrators like Boomi or MuleSoft, Workato is priced reasonably. While Workato was a target for acquisition by Salesforce, its CEO declined the sale, but Salesforce is one of its investors.
Which other solutions did I evaluate?
Solutions evaluated include Boomi, MuleSoft, and Workato.
What other advice do I have?
For new users, having an IT background simplifies using Workato, especially regarding aspects like schedulers and connections. Those without an IT background should acquire basic IT knowledge. My overall ratings are eight for user experience and courses, ten for simplicity, and eight in terms of cost. I suggest creating academic projects or exercises for better learning. Although Workato is new in Europe, it shows potential for being cost-effective and time-saving. I rate the overall solution as eight.
