Practical, Powerful Automation That Feels Like an Extra Pair of Hands from Safdar

What do you like best about the product?
What I really like about Zapier is how practical it feels once you actually start using it.

For me, it clicked when I used it to automate hiring interns on our website. Before that, everything was manual. People would apply, I’d check emails, move data around, send responses, it was messy and honestly kind of draining. With Zapier, I connected the form on our site to the rest of the workflow using APIs, so now when someone applies, it automatically captures their info, organizes it, and even triggers follow ups. It feels like the whole pipeline just runs on its own.

That’s the part I like most. It’s not just automation for the sake of it, it actually removes real friction from your day.

Also, once you go a bit deeper, the tools are actually pretty powerful. You can plug into APIs, structure data, and build workflows that feel more like systems than simple automations.

And their Zapier AI is honestly kind of wild. It helps you build things faster and even handles parts of the logic for you, so you’re not stuck figuring out every step manually.

Overall, it just feels like having an extra pair of hands quietly handling things in the background while you focus on the important stuff.
What do you dislike about the product?
What I dislike about Zapier is that it gets expensive pretty quickly once you actually start using it seriously.

At first it feels great and simple, but as your workflows grow and more things start running automatically, you realize every little action counts as a task, and the cost adds up fast. So the more useful it becomes, the more you end up paying.

Also, once you try to build more advanced workflows, it can get a bit messy. Things that seem simple in your head sometimes require multiple steps or workarounds, and debugging those flows can be frustrating. Like advanced workflows with multiple agents and decision trees like what Langgraph can handle needs to be incorporated, but still a W platform
What problems is the product solving and how is that benefiting you?
Zapier is solving a very real problem I was facing, too much repetitive manual work in our HR process.

Before, hiring interns and managing attendance was honestly messy. Applications would come in through the website, then I had to manually check them, copy details into Google Sheets, send emails, and coordinate Zoom meetings. Same with attendance, tracking everything manually in sheets and updating it again and again. It was time consuming and easy to mess up.

What I did with Zapier was connect everything together using APIs. Now when someone applies on our website, their data automatically goes into Google Sheets, triggers a workflow, and even helps set up Zoom meetings for interviews. For attendance, data flows directly into sheets without me having to update it manually every time.

So the problem it solved was all that repetitive, manual back and forth work.

And the benefit for me is huge
It saved hours every week, reduced errors, and made the whole hiring and attendance process feel smooth and structured instead of chaotic

Now it just runs in the background, and I can focus on actually managing people and improving the system instead of doing admin work.

What do you like best about the product?
Zapier made it really easy for me to automate repetitive tasks without needing any technical background. I like how it connects so many different apps in one place, which helps keep everything running smoothly behind the scenes. The interface is simple and user-friendly, so setting up automations doesn’t feel overwhelming. Overall, it saves me a lot of time and helps me stay focused on more important work instead of doing things manually. I looked into other tools like N8N and Microsoft Power Automate, but Zapier felt more straightforward for what I needed.
What do you dislike about the product?
The biggest downside for me is the pricing. As you start creating more advanced workflows or using multiple steps, the cost can increase pretty quickly. I’ve also noticed that some automations can be a little confusing to troubleshoot if something goes wrong. It’s not a dealbreaker, but it can take some time to figure things out, especially if you’re still learning the platform.
What problems is the product solving and how is that benefiting you?
Zapier helps eliminate a lot of manual work by automatically moving data between apps. For example, instead of entering information multiple times, it connects everything and updates it for me. This reduces mistakes and saves a lot of time. It also helps keep my workflow organized and consistent, which makes running things day-to-day much easier and more efficient. It really helps me get through the hassle of using Excel. I use it mostly to help me keep up with forms and scheduling.

Easy, Low-Code Automations and a Simplified All-in-One Zapier Subscription

What do you like best about the product?
I really appreciate how Zapier makes setting up its different products easy to understand. Most of the time, little to no coding knowledge is needed, which expands the number of people at Koddi who can use Zapier’s products. I also like their recent change where a single subscription cost covers all of the products in their offering, and that made it much easier for us to decide to keep our Zapier subscription. They also are always adding connections to their program, and improving on connections that already exist. Even subscribing to their blog has been helpful in determining how to go about regular business use cases, and provides a valuable insight into the possibilities of the Zapier product as a whole.
What do you dislike about the product?
I believe there should be a way to configure reusable Zaps or mini-Zaps across our Zapier ecosystem, so we don’t have to rebuild the same three or four steps each time—especially the steps required to set up case assignments in our automations. That said, they’ve recently released “sub-zaps” in beta, and I’ll be actively testing them to see whether this feature solves the problem.
What problems is the product solving and how is that benefiting you?
Our teams have been able to automate reports at a very basic level. However, I think Zapier’s biggest impact on our company has come from using their Forms to set up a portal for our CS team to submit tickets to our Financial Operations team in a consistent, uniform format. This portal has significantly reduced the need for the FinOps team to reach back out to the CS team for missing details, and the end result has been much faster turnaround on financial tickets. Overall, our turnaround time decreased by almost two full working days (16 hours).

As a result, our CS team has fully embraced the portal created for them. They’re seeing more positive interactions with their clients, and those clients have greater confidence in our company’s ability to manage their accounts. With that added confidence, the company’s expansion and scaling has increased year over year.

What do you like best about the product?
I’m not a tech person, so learning Zapier was much easier than I expected. I’ve been using it to help automate my business, as well as some projects and personal tasks.

It usually takes 2–3 zaps to set up automations.

Nothing really comes to mind. Sometimes they change the names of things, and it gets confusing figuring out where to find certain items or features.

Zapier Saves Me Time with Reliable, User-Friendly Automations!

What do you like best about the product?
Zapier has saved me a ton of time and sanity! I'm a one-person marketing department for a company with 7 locations, 100+ employees and 650+ clients. I have a lot on my plate, and Zapier has helped me set up automations for things that I otherwise wouldn't be able to keep track of. The most helpful integration is with Google Ads, specifically for transferring over information from form completions into my CRM. It's super user-friendly and easy to set up, and I find the "duplicate zap" feature to be especially helpful as I often need to run the same automations for multiple campaigns. It's very reliable and I rarely encounter technical issues with it, but if I ever have questions or need assistance their customer service team is really helpful and responsive.
What do you dislike about the product?
The main thing I dislike about Zapier is that, while there are SO many platforms and softwares that it integrates with, the specific CRM I use (Intellikids) has very limited integration capabilities. The things I'm able to use Zapier for are extremely helpful, but I have encountered a few situations where the integration I'm looking for (from one software/platform into my CRM) isn't possible. I'm using a Zap that was created by the CRM company though, so I think this issue lies more with them than with Zapier. I'm not sure what the process was for the CRM to create their Zap integration, but perhaps Zapier could offer more support to companies making their own integrations?
What problems is the product solving and how is that benefiting you?
I'm the only marketer for a fairly large childcare company, and my job has many moving parts. I have a lot on my plate at all times, and the ability to automate things with Zapier has helped me expand my capabilities to a level I wouldn't otherwise have. The automated transfer of Google Ad form submissions going into my CRM as new leads has been SUCH a time saver, and has helped me capture leads and get conversions that otherwise would've been missed. As a one-person team I also have a limited budget for my department, so the free plan with Zapier has been such a lifesaver! It's the perfect amount of Zap runs that I need at this point, and without the free plan I wouldn't be able to use Zapier. Because of how successful I've been with the help of Zapier, once I get to the point where my usage needs surpass the free plan, I think I won't have an issue getting approval for a paid plan simply based on how much time Zapier has saved me!

What do you like best about the product?
It's truly the only option most of the time, and it's highly efficient which is not always the case when there are limited options. And since it's so popular I appreciate that I can find additional resources from other customers on other forums (like Reddit, etc).
What do you dislike about the product?
The AI services are hit and miss. Quite a few of the instructions included steps to push buttons that didn't exist or something else impossible. I had to consult outside instructions along with the AI helper. I'm also not a tech person, I'm just the only FT employee and have to keep all the plates spinning, so I appreciate that the usage of the tool is not completely out of my league, but it could be a little more user friendly for folks like me who can figure it out but don't know the terminology and need more descriptive instructions at each step.
What problems is the product solving and how is that benefiting you?
helping to connect tools to our website when direct plugins don't exist. Taking donor info and adding it to different systems, getting folks signed up on the right newsletter, etc.

What do you like best about the product?

It simplifies automation and gives me use cases for applying it to things I do. For example, use cases for agentic, especially in lifestyle brands and marketing don't always obviously correlate but Zapier is pretty good on providing instruction for people who aren't necessarily all in on tech.
