What is our primary use case?

My main use case for Sharepoint 2016 Standard is that it is the best alternative to traditional physical hard drives. It is very safe to store files, which makes it more secure and less likely to get lost. We have implemented this across our organization after a major cyber attack that happened to our company back in 2017.

What is most valuable?

The best features Sharepoint 2016 Standard offers, in my opinion, are that it organizes our documents and other materials into folder libraries within a custom website and provides sharing tools and rules specific to that site. It integrates well with other Microsoft products through Office 365. Adding and removing users is easy for administrators. Its simple document structure makes it clear where to best store documents.

Out of those features, I find myself appreciating the integration with Office 365 the most, which makes it easier to share files and collaboration.

I would also like to highlight that features such as version control to view any changes made and access control over any file or folder stand out to me. Additionally, the intuitive mobile application for easy access on the go enhances our experience.

Sharepoint 2016 Standard has positively impacted my organization because since we had a cyber attack in 2017 and implemented this tool, it has been a secure and easy way to store files and access files for the people who are given permission. It can be accessed from anywhere as long as you have an internet connection. Collaboration has been made easier between departments and also with remote employees and clients.

What needs improvement?

Sharepoint 2016 Standard can be improved because the user interface slows down productivity for our staff at times; it is very slow. Granting access to outsiders and guests is also difficult.

Another improvement needed for Sharepoint 2016 Standard is that it does take some work to get your setup to be as graphical as modern design tends to be.

I have been using Sharepoint 2016 Standard for the same amount of time.

I have seen a return on investment because it is certainly a time-saver. You can stop paying for other tools if you are willing to move to Sharepoint 2016 Standard. It has enhanced collaboration in my organization and made it very easy for remote workers to collaborate. Additionally, security has increased, especially for files and data, with no noticeable data breaches of late.

My experience with pricing, setup cost, and licensing for Sharepoint 2016 Standard has been that it offers very competitive price plans, which are good for business.

Before choosing Sharepoint 2016 Standard, I evaluated other options, specifically OnBase by Hyland.

What other advice do I have?

A specific example of how I use Sharepoint 2016 Standard in my day-to-day work is that it works in the cloud, so it can be accessed from anywhere. It has a dedicated mobile application for easy access. It organizes files very neatly and tidily.

Sharepoint 2016 Standard is used across my whole organization through a subscription to Microsoft Office 365. We primarily use Sharepoint 2016 Standard to store and share documents on a per-department basis, with some Sharepoint 2016 Standard being available to the whole staff.

If you are looking into using Sharepoint 2016 Standard, my advice is that if you work with teams of people and need a good way to work collaboratively, then I would easily recommend Sharepoint 2016 Standard. It makes working remotely seamless. It helps to share, save, store, and edit files live with any users on your team, thus promoting collaboration. I also love that Sharepoint 2016 Standard is very easy to use. Organizing information and creating a structure is done in a way that even novice users can manage with little assistance.

I would rate Sharepoint 2016 Standard a nine out of ten based on my user experience. I chose a nine out of ten because it has improved collaboration between departments and also for those working remotely, making working remotely seamless. You can share, save, store, and edit files live with any users on your team. You can keep on track with project calendars. It is a great tool for project management and planning.

What is our primary use case?

My main use case for Sharepoint 2016 Standard in our organization is saving important data. It serves as a database for all employees. On Sharepoint 2016 Standard, we can collaborate in real time without any hassle. If someone is working on a file, it can show the edits or changes to other employees as well. On Sharepoint 2016 Standard, we can also make private folders that are shared with some specific people, so files in a particular folder are not visible to others.

What is most valuable?

Sharepoint 2016 Standard offers several best features including sharing of files or folders via email, creating private folders, real-time collaboration, accessibility and integration, permission management, and version history tracking.

Accessibility and integration are the most valuable features for my team. I love the accessibility of Sharepoint 2016 Standard, especially its integration with other Microsoft products like Word, PowerPoint, and Excel, which has enhanced user experience and workflow efficiency. Additionally, the permissions management is a key feature I love. This functionality allows for granular control over access to documents and folders, ensuring data security is top-notch.

Sharepoint 2016 Standard has impacted my organization positively by offering real-time collaboration, which helps increase the efficiency of our employees. Files are saved in one location, so there is no need to share files with everyone every time someone asks about it. The creation of a private folder helps to hide important documents from other employees who are not eligible to see the documents. Hence, permission management becomes very efficient.

I have noticed fewer errors, increased security, and increased collaboration by fifty percent, which shows how Sharepoint 2016 Standard has improved efficiency and collaboration in my organization.

What needs improvement?

Sharepoint 2016 Standard can be improved, as it is difficult to create a private folder sometimes. I have experienced a problem where a folder is visible to all, which should not be the case. Sometimes while uploading a file with the same name, it does not create version history.

I would add that if an employee makes some changes in a file and if we want to redo the changes, it does not allow us to go to the original files.

Sharepoint 2016 Standard is a pivotal platform for cross-departmental collaboration. It supports off-server communication and file sharing and allows for seamless editing and reviewing of files. This supports ease of access for work from home and remote workers where having a local drive isn't easy or doesn't make sense.

I love the ability to see file edits and track changes, which is pivotal in following critical updates made by others without having to manually communicate data changes or inputs.

Our organization shares a comprehensive data list that is critical to PO, planning, and marketing materials. Being able to store these files on Sharepoint 2016 Standard has changed the way we manage this data and has reduced errors that end up costing our company.

What is most valuable?

Sharepoint 2016 Standard offers pivotal B2B collaboration, allows for off-server storage of critical files, and tracks edits and changes made with ease. All of these features are very critical and helpful for my team.

The ability to see file edits and changes is pivotal in following critical updates made by others without having to manually communicate data changes or inputs. I love Sharepoint 2016 Standard because it also supports B2B collaboration by supporting sharing and editing outside our organization. Sharepoint 2016 Standard is very flexible, file storage is secure, and permissions are granted to authorized personnel, which is great.

Sharepoint 2016 Standard has positively impacted my organization by decreasing PO errors by providing real-time live data and saved significant time on re-editing when changes could not be merged due to reduced cross-editability. PO errors decreased by thirty to forty-five percent. It has also increased collaboration by fifty-five percent and increased transparency and visibility into files.

What needs improvement?

Sharepoint 2016 Standard can be improved by improving navigation. The user interface should be improved to be more intuitive, and the search function is lacking and should be improved.

It is very secure and works very well, very easy to use, and cost-effective, making it a highly recommendable tool.

My main use case for Sharepoint 2016 Standard is that we use this as our intranet, where all documents are stored so that everyone has access to it. Since it is a cloud-based platform, it is accessible at any time. We can also easily ensure that a particular document, folder, or library can have restricted access. The use of metadata is useful for filtering or searching for a particular document. The fact that multiple users can edit and collaborate on the document at the same time is beneficial for departmental collaboration. It also keeps previous versions, which can be rolled back at any time.

To collaborate using Sharepoint 2016 Standard, I share project documents easily with my colleagues, enhancing collaboration even in remote areas.

What is most valuable?

Sharepoint 2016 Standard excels as a central repository for storing, organizing, and retrieving documents. It supports version control, metadata tagging, secure access, and integration with tools such as Power Automate.

The best features Sharepoint 2016 Standard offers are easy collaboration, the ability to specify specific access, notifications from workflows, and metadata. I find myself relying on all of those features, including the fact that it is a cloud-based platform, which makes it very easy to access documents. The use of metadata is useful while filtering or searching for a particular document. Additionally, there is easy collaboration between departments or team members.

I appreciate document management in Sharepoint 2016 Standard because it is easy, with file movements, indexing, ease of data access, and ease of doing business. Sharepoint 2016 Standard has positively impacted my organization because it has been a great tool, delivering measurable return on investment through improved compliance, reduced manual effort, and better collaboration. By reduced manual effort, I mean the automation of tedious tasks, which saves time and cost.

Since we started using Sharepoint 2016 Standard, we have been able to save between twenty to thirty percent of our time. We have also been able to reduce manual errors by approximately thirty percent.

What needs improvement?

One area where Sharepoint 2016 Standard needs improvements is that it is not easy to identify archived documents. When searching for documents, all documents show, and the only way to do this is to include 'archived' in the document name before setting the metadata to 'archived.'

Faster page loading and improved file movements from folder to folder in Sharepoint 2016 Standard would enhance the platform.

What is our primary use case?

My main use case for Sharepoint 2016 Standard is that it is our central hub for collaboration and document management. It brings a new way of working, eliminating the need of sending documents back and forth, and an easy way to access version history. It enables secure document sharing with version control, automated approval workflows, and team-specific collaboration sites. It also helps to handle large-scale data storage and querying, supports real-time reporting through Power BI, and ensures centralized access to business-critical information.

During cross-department projects, my team uses a Sharepoint 2016 Standard project site with the task lists, document libraries, and version-controlled reports. Everyone works from the same source of truth.

Document storage has supported structured project and BI management workflows

What is our primary use case?

I use Sharepoint 2016 Standard for storing and retrieving documents. Specifically, I store product-related documents, project-related documents, and any BI-specific documents. We are not developing the product itself.

What is most valuable?

I have utilized the Enhanced Sharing Abilities in Sharepoint 2016. I worked on one project long ago where we moved one of the sites into Sharepoint. It was a very tiny site, just a few MBs, so we moved it there and published that particular site on Sharepoint. Sharepoint 2016 Standard serves the purpose of storing and retrieving documents, including product-related documents, project-related documents, and any BI-specific documents.

What needs improvement?

I would assess the integration of Microsoft Office apps within Sharepoint 2016 Standard for document management as lacking. There is no integration we can access within Sharepoint 2016 Standard. There is an online document we can retrieve as it is on a cloud solution. However, we are not integrated with Outlook and similar applications. Mostly, it functions as a repository for storing and retrieving documents.

I think Sharepoint 2016 Standard can be improved, but I am not sure if it has connectivity with SAP. I would like to see additional features in Sharepoint 2016 Standard, and apart from the integration, I do not see anything else to consider. They need to work on the integration part.

For how long have I used the solution?

I have been working with this product for three years.

Which other solutions did I evaluate?

I could recommend multiple products instead of Sharepoint 2016 Standard, such as OpenText cloud-based and Documentum.

What other advice do I have?

I believe integration with SAP products is important. SAP is mainly used for customer data, and the metadata can go to the SAP database. The files associated with the user can go to Sharepoint 2016 Standard, and the link can be stored into the SAP database so that whatever documents are needed, they can be accessed from the SAP side and quickly retrieved from Sharepoint 2016 Standard.

I think about the pricing of Sharepoint 2016 Standard, and I am still not sure, but it should be competitive when considering the rest of the products in the market. Sharepoint 2016 Standard is widely being used now. However, it is mainly lagging with integration with multiple things. There are scanning solutions from OpenText, such as Captiva and other scanning solutions. Whatever scan happens from the scanning solution should directly go to Sharepoint 2016 Standard via a workflow. That is what the integration should mainly focus on. When we are talking about ECM, the integration should happen with the rest of the world.

I do not use Sharepoint 2016 Standard Improved Mobile Access. We do not have any mobile access for Sharepoint 2016 Standard. I do not use the Smarter Search functionality in Sharepoint 2016 Standard. I do not use the hybrid capabilities in Sharepoint 2016 Standard.

What is our primary use case?

I use Sharepoint 2016 Standard in my day-to-day work as part of a team in an organization where I rely on it for document management and internal file sharing.

I use Sharepoint 2016 Standard for knowledge management as a central repository. In projects where I work with around two to three people, each team member prepares design documents, requirement gathering documents, and other documents including SOPs, manuals, and policies. Every document needs to be visible to all other members in that project, and we use Sharepoint 2016 Standard as a centralized place for this purpose. We also use it for workflow automation including approvals and other document review processes where we submit and upload documents. It primarily functions as a team collaboration site.

What is most valuable?

Sharepoint 2016 Standard stands out to me for its integration with Microsoft tools including Excel, PowerPoint, Word, and Outlook.

When I need to send a document through Outlook or share it with other team members, and when I need files in different formats such as Word or Excel, the integration with Sharepoint 2016 Standard helps me tremendously and makes the process very easy. This integration is helping my team collaborate extensively.

Sharepoint 2016 Standard has role-based access control, which secures our enterprise data effectively. The user interface is also very intuitive, allowing me to access documents with ease.

Using Sharepoint 2016 Standard enables me to share my thought process and knowledge bases easily across teams as well as within teams. It has improved my productivity significantly. For the HR team, onboarding new team members has become easier because all documents are stored in one location. For the knowledge transfer process, Sharepoint 2016 Standard is very useful.

For how long have I used the solution?

I have been working with this solution for two years.

How was the initial setup?

For technical members, using Sharepoint 2016 Standard will be easy. For non-IT persons, once they refer to the documentation, setup and navigation will be very easy for them.

What other advice do I have?

Sharepoint 2016 Standard is currently working well for my needs. I would suggest reducing the number of questions in review processes because it takes a long time to complete, and the same questions are repeated multiple times. Overall, the experience has been good. I gave this product a rating of ten out of ten.

What is our primary use case?

My main use case for Sharepoint 2016 Standard is data collection of many policies and procedure documentation and reporting and project management materials. I use Sharepoint 2016 Standard for conducting a business impact analysis and have created a Sharepoint site for all of the business impact analysis related information to be stored. This particular site is also protected and permission is granted to certain individuals to be able to view the data. It acts mainly as a very good information repository.

What is most valuable?

Sharepoint 2016 Standard has capability for very large file support, which I appreciate. The best feature Sharepoint 2016 Standard offers is data storage. I particularly value the data storage feature for its capacity. The protection and encrypted connections of Sharepoint 2016 Standard are very good. Sharepoint 2016 Standard has positively impacted my organization by providing a very good data repository and organization of various amounts of information that is stored in these Sharepoint sites.

What needs improvement?

Sharepoint 2016 Standard can be improved by continuing to evolve with changing technology. Integration with third-party workflows would improve it.

It is very good in terms of security hardening, and also the automation for business processes and document approval workflows, change request processes, HR onboarding workflows, it works well within Sharepoint 2016 Standard as well. I would advise others looking into using Sharepoint 2016 Standard to use it because it is a powerful workflow platform. I would rate this product an eight out of ten.

What is our primary use case?

The experience with Sharepoint 2016 Standard involves using it to adjust and design some applications to create tools for controlling our production line and processes.

We use Sharepoint 2016 Standard as an internal engine to control and make workflows. We designed a specific workflow to monitor the current daily processes in our company.

I used Sharepoint 2016 Standard to design internal processes for endo marketing and to control the internal processes of my company.

What is most valuable?

Sharepoint 2016 Standard is great software where we can configure applications inside the environment that are very useful for my company and other companies. In the recent past, I worked for a German company that had wide application for Sharepoint 2016 Standard. They used a similar application that I worked with, and I brought some applications to my company. They are really very useful.

It is great software. It is expensive. This is really an expensive product, but it is very effective. I know there are other tools we could use, but Sharepoint 2016 Standard is really the best one in my point of view. However, it should be less expensive per user.

What needs improvement?

This is something that people who have deeper knowledge about the tool should contribute to regarding what should be improved. I am just an end-user of some tools created and designed using Sharepoint 2016 Standard.

Which solution did I use previously and why did I switch?

When I worked at Siemens, I qualified a new workflow tooling called TIBCO solution. At that time, we paid a lot of money. We should have gone directly to Sharepoint 2016 Standard at that time, but TIBCO was considered the more up-to-date solution. Operating with TIBCO was more difficult than Sharepoint 2016 Standard. I had to maintain software engineers to create the workflows or solutions. With Sharepoint 2016 Standard, you do not have to be a specialist. You just need some training, and after this, you are able to design solutions to make your daily job easier.

What was our ROI?

We use Sharepoint 2016 Standard to design applications that create tools to control our production line and processes. We use it as an internal engine to control and make workflows. We designed a workflow to monitor the current daily processes in our company.
